n8n · telegram · notion

Constraints

Prerequisites: n8n instance; Telegram Bot Token; OpenAI API key; Notion integration with target page URL. Costs: OpenAI API usage-based; n8n self-hosted or cloud depending on plan.

What they did

Author weblane created an n8n workflow template that turns a Telegram bot into a Notion to-do assistant. When users send Telegram messages, the workflow distinguishes text from voice: voice messages are transcribed via OpenAI, then an AI agent named Tard uses short-term memory to understand intent, searches or creates tasks in Notion, and formats the reply back to Telegram.

How it went

Source description states results are sent back to the user in Telegram in a clean, readable format (author report).

Worth knowing

Gmail and Google Calendar nodes are disabled by default, included only for future expansion. The AI agent's system prompt explicitly restricts it to Notion operations and instructs it to ignore email and calendars. Voice transcription uses the OpenAI audio API. Short-term memory is implemented via Window Buffer Memory with session isolation by Telegram user ID. The workflow does not specify Notion page structure requirements or detailed error handling.

n8n workflow template

Structure checked · Not run-tested

Use “Import from File” in n8n, or copy the JSON and paste it into the editor. Connect your own accounts, then try test data. The template is inactive by default.

Setup and test checklist

Credentials to connect

  • Listen for incoming events node: connect Telegram API credentials.
  • Telegram node: connect Telegram API credentials.
  • Get Voice File node: connect Telegram API credentials.
  • Create a page in Notion node: connect Notion API credentials.
  • Search a page in Notion node: connect Notion API credentials.
  • Transcribe a recording node: connect OpenAI API credentials.
  • OpenAI Chat Model node: connect OpenAI API credentials.

Configuration to replace

  • Source template is n8n public workflow #11817 (~24 nodes). Keep inactive after import; verify triggers, expressions and external API endpoints.
  • Sticky-note guidance is informational; replace placeholders with your own accounts, sheet schemas or channel IDs.

Test input and expected output

  • Manually run the main path once in a test workspace and confirm credentialed nodes authenticate without errors.
  • Drive one synthetic/redacted sample through and check output fields and downstream writes before enabling in production.

Template changes

  • Author credential bindings, webhookId and execution data are removed; the workflow is inactive. Nodes, connections and original prompts are preserved. Not run-tested in n8n.
  • No business-logic edits; verify keys, quotas and privacy compliance before use.

Steps

  1. Create Telegram bot and configure trigger

Create a bot via @BotFather in Telegram and obtain the Bot Token. In n8n, open the template, locate the 'Listen for incoming events' node, select Telegram Trigger type, and paste the Bot Token to complete credential setup. The trigger listens for 'message' updates.

  2. Add OpenAI API key

Add an openAiApi credential in n8n's credential manager with your OpenAI API key. This key is used by both the 'Transcribe a recording' node for voice-to-text and the 'OpenAI Chat Model' node for AI agent reasoning.

  3. Connect Notion and update page URL

Add a notionApi credential in n8n and complete Notion authorization. Open the 'Create a page in Notion' node and update the pageId to your Notion to-do list page or database URL.

  4. Configure AI assistant system prompt

Open the 'Tard, AI Assistant' node and configure the following system message in Options > System Message. This prompt defines the assistant's name, scope, Notion guidelines, and behavior rules. n8n $fromAI override: ``` ={{ /*n8n-auto-generated-fromAI-override*/ $fromAI('Search_Text', ``, 'string') }} ```

Execution prompt · Source text。Tard, AI Assistant node Options > System Message field

=You are my personal assistant. Your name is Tard.

    Today’s date is:
    {{ $today.format('yyyy-MM-dd') }}

    Scope of responsibility:
    You work exclusively with Notion.

    Your main focus:
Managing and reading a Todo List.

You work with pages, tasks, and data stored in Notion only.
You do NOT have access to email or calendars and must ignore them completely.

    Notion guidelines:
    - When presenting tasks, filter and show only what is relevant to the request
    - If no date is specified, assume the user means today
    - Be clear, short, and well structured
    - Do not invent information that does not exist in Notion
    - Always include a Notion link when answering questions about Notion content

    General questions:
You may also answer general AI questions not related to Notion, such as:
    - History
    - Nutrition (e.g. calories in food)
    - General knowledge
    - Simple explanations of various topics

    Behavior rules:
    - Use a natural, informal tone
    - Be helpful, focused, and not verbose
  5. (Optional) Enable Gmail or Google Calendar extensions

To extend functionality, enable the 'Get Email', 'Send Email', and 'Google Calendar' nodes (disabled by default) and configure their credentials. Note: the AI assistant's system prompt instructs it to ignore email and calendars; update the prompt if enabling these.

  6. Activate workflow and start using via Telegram

Save and activate the workflow. Send text or voice messages to your bot in Telegram: text messages go directly to the AI agent; voice messages are first transcribed to text via OpenAI. The AI agent uses short-term conversation memory (Window Buffer Memory) to understand intent, calls Notion tools to search or create tasks, and replies to Telegram in Markdown format.
