Manage Google Calendar via WhatsApp with GPT-4
WhatsApp message → n8n AI Agent → Google Calendar action → WhatsApp confirmation reply
- Who
- n8n users who need hands-free calendar management, with existing Meta/WhatsApp Business and Google Calendar access
- You get
- Create, update, delete, and query calendar events via natural language in WhatsApp, with confirmation replies
Constraints
Prerequisites: n8n instance (internet-accessible), Meta developer account with verified WhatsApp Business phone number, Google Calendar OAuth2 credentials, OpenAI API Key. Costs: OpenAI per-token; WhatsApp Business Cloud per Meta pricing; n8n self-hosted or cloud per plan.
What they did
Author floyd published a template called TimePilot Agent on n8n. The template receives user messages via WhatsApp Trigger, parses intent with the TimePilot AI Agent (powered by GPT-4-turbo), executes calendar actions through Google Calendar Tool nodes (create, update, delete, search), and sends confirmation back via WhatsApp Business Cloud. The template includes four sticky notes explaining the trigger, AI Agent brain, output confirmation flow, and a seven-step setup guide.
How it went
The template shows 13,793 views on n8n (as of collection date) and is marked as published. The author provided complete setup steps from Meta app creation to final testing, plus natural language interaction examples via sticky notes.
Worth knowing
1) Default model is gpt-4-turbo-preview, but sticky notes mention GPT-3.5 as an alternative; 2) workflow.json contains placeholder values '[email protected]' for calendar and 'ENTER YOUR PHONE NUMBER HERE' for recipientPhoneNumber, which must be replaced; 3) Simple Memory uses WhatsApp message type as sessionKey—production deployments may need user-ID-based session isolation; 4) Update and delete operations require first retrieving the event ID via Search Event, as enforced by the systemMessage; 5) System timezone is hardcoded to Paris/Europe in the systemMessage—users in other timezones must modify it; 6) This site has not tested this template, reproduction=not_tested.

Setup and test checklist
Credentials to connect
- OpenAI Chat Model node: connect OpenAI API credentials.
- Create Event node: connect Google Calendar OAuth2 credentials.
- Delete Event node: connect Google Calendar OAuth2 credentials.
- Update Event node: connect Google Calendar OAuth2 credentials.
- WhatsApp Trigger node: connect whatsAppTriggerApi credentials.
- WhatsApp Business Cloud node: connect whatsAppApi credentials.
- Search Event node: connect Google Calendar OAuth2 credentials.
Configuration to replace
- Source template is n8n public workflow #5368 (~14 nodes). Keep inactive after import; verify triggers, expressions and external API endpoints.
- Sticky-note guidance is informational; replace placeholders with your own accounts, sheet schemas or channel IDs.
Test input and expected output
- Manually run the main path once in a test workspace and confirm credentialed nodes authenticate without errors.
- Drive one synthetic/redacted sample through and check output fields and downstream writes before enabling in production.
Template changes
- Author credential bindings, webhookId and execution data are removed; the workflow is inactive. Nodes, connections and original prompts are preserved. Not run-tested in n8n.
- No business-logic edits; verify keys, quotas and privacy compliance before use.

Steps
Prepare accounts and credentials
Ensure you have: 1) A Meta developer account (developers.facebook.com) and a verified WhatsApp Business phone number; 2) OAuth2 access to Google Calendar; 3) An OpenAI API Key; 4) An n8n instance accessible from the internet to receive Meta webhooks.
Create a Meta App
Go to https://developers.facebook.com/apps, click 'Create App', select 'Business' as the type. Add the 'WhatsApp' product and bind your verified phone number. Save the Phone Number ID and WhatsApp Business Account ID.
Add WhatsApp product and obtain token
Inside your Meta App → Add Product → Select WhatsApp. Generate a Test Token or configure a Permanent Access Token. Record the Access Token and Business Account ID.
Configure webhook to n8n
Copy the webhook URL from your n8n WhatsApp Trigger node (e.g. https://your-n8n.com/webhook/timepilot). In Meta Dashboard → WhatsApp → Webhooks, add the webhook URL and subscribe to the 'management' and 'messaging' fields.
Enter credentials in n8n
Go to n8n → Credentials: add Meta API Token (for WhatsApp module) and Google Calendar OAuth2 (for calendar module). Ensure credential names match those referenced in the workflow.
Add OpenAI API Key
Go to n8n → Credentials → OpenAI, paste your API Key. In the OpenAI Chat Model node, select gpt-4-turbo (or gpt-4 / gpt-3.5).
Import workflow and configure TimePilot Agent
Import the workflow JSON from the template. Core configuration: 1) WhatsApp Trigger receives messages; 2) TimePilot AI Agent's systemMessage defines the calendar assistant behavior, tool routing, and reply rules; 3) Connect Create Event, Update Event, Delete Event, and Search Event Google Calendar Tool nodes as tools to the AI Agent; 4) Connect Simple Memory to the AI Agent for conversation context; 5) Success node extracts $json.output; 6) WhatsApp Business Cloud node sends the reply back to the user. Replace the default '[email protected]' in workflow with your actual calendar address, and 'ENTER YOUR PHONE NUMBER HERE' with the actual recipient number.

=# Overview You are a personal AI assistant that manages *your own calendar* through WhatsApp messages. You must always trigger the correct module corresponding to the requested action (create, update, search, delete). No assumptions or shortcuts—only execute via the designated modules. ## Context - You are the only user of this system. - All requests come from WhatsApp and responses must be sent via WhatsApp. - You use Google Calendar modules to perform every action and confirm completion. - You understand both French and English. - Your tone is neutral, fast, and action-focused. ## Instructions 1. Always check if the input contains a clear calendar-related request. 2. If the message is a greeting or polite phrase (e.g., "Hi", "Thanks", "Hello"), reply briefly and kindly. 3. Always route tasks through the correct module: - Always Use **Search Event** to: - List all upcoming meetings. - Show availability. - Retrieve a specific event before updating or deleting it. -Always Use **Create Event with Attendee** to create any new event (even without participants). - Always Use **Update Event** only after retrieving the target event with **Search Event**. - Always Use **Delete Event** only after retrieving the event with **Search Event**. 4. Never perform any action without using the appropriate module. 5. If information is missing (like time or participants), ask one short, targeted follow-up question. 6. Always confirm the completed action with a short message via WhatsApp. 7. If the input is unclear, ask for clarification. Never guess. 8. Never explain your steps or how you operate. Just act. ## Tools - Search Event (availability/meeting schedule:calendar) - Create Event with Attendee (create:event) - Update Event (update:event) - Delete Event (delete:event) ## Examples - Input: "Yo" - Output: "Hi! What would you like to do with your calendar?" - Input: "Add a call tomorrow at 9am with Julien" - Modules: Create Event with Attendee - Output: "Call with Julien added tomorrow at 9am." - Input: "What meetings do I have Friday?" - Modules: Search Event - Output: "On Friday you have: 10am 'Budget Review' with Claire, 3pm 'Product Sync' with Marc." - Input: "List my meetings this week" - Modules: Search Event - Output: "Here are your meetings this week: Monday 10am with Hugo, Wednesday 2pm with Ana..." - Input: "Delete the HR sync tomorrow" - Modules: Search Event → Delete Event - Output: "Done. The HR sync for tomorrow has been deleted." - Input: "Thanks" - Output: "You're welcome!" - Input: "Move the 2pm meeting to 4pm" - Modules: Search Event → Update Event - Output: "The meeting has been moved to 4pm." - Input: "Create a ‘Sprint Review’ meeting tomorrow at 11am with Lisa and Karim" - Modules: Create Event with Attendee - Output: "‘Sprint Review’ meeting created tomorrow at 11am with Lisa and Karim." ## SOP (Standard Operating Procedure) 1. Read the WhatsApp message. 2. Identify the intent: - View meetings: use "Search Event" - Create meeting: use "Create Event with Attendee" - Update meeting: use "Search Event" → "Update Event" - Delete meeting: use "Search Event" → "Delete Event" 3. Always use the correct module—no exceptions. 4. Send a short confirmation message via WhatsApp. 5. If data is missing, ask a concise follow-up question. ## Final Notes - You are the only user. - Never handle any action without triggering the corresponding module. - All confirmations are sent in real-time via WhatsApp. - Default meeting duration is one hour. Current time is {{ $now.format('yyyy-MM-dd') }} Time zone: Paris/EuropeTest the workflow
Send a message to your connected WhatsApp number, e.g. 'Create a meeting with Anna at 4pm tomorrow'. n8n should process the request and return a confirmation via WhatsApp, e.g. '✅ Your event has been created.'
