Auto-save meeting transcripts to Notion & Google Drive with AI-generated tasks
Webhook ingestion → flatten & classify → AI structured notes → Notion pages + Drive archive + task creation
- Who
- Sales or project teams who want hands-free, structured meeting notes in Notion with action items
- You get
- After each meeting, a structured Notion page is created, the transcript is archived in Google Drive, and tasks are created for the assigned owner
- You need
- n8n · notion · google-drive
Constraints
Prerequisites: accessible n8n instance; OpenAI API key; Anthropic API key; Notion internal integration (Meetings and Tasks databases shared); Google Drive OAuth2 credential. Optional: meeting recorder that supports webhooks. Costs depend on API usage and n8n hosting.
What they did
Author mattyreed1 published an n8n official template that receives a meeting webhook payload, flattens the transcript, classifies the meeting type with OpenAI, generates structured notes via Anthropic AI Agents, and outputs them to a Notion page, archives the transcript in Google Drive, and creates tasks in Notion for the assigned owner. The template also includes a disabled polling path for environments without webhook support.
How it went
Author report: the template is listed on n8n.io with a designed time saving of ~30 minutes per execution. It contains 36 nodes, supports two meeting-type branches, and offers an optional polling trigger.
Worth knowing
1. All node parameters in workflow.json are empty objects; actual parameters must be configured in n8n after import per description.md. 2. The exact prompts and structured-output schemas for both AI Notetakers are not provided verbatim in the source; inspect the Agent nodes inside n8n or author your own. 3. The default task filter is hardcoded to assignee = 'Matty Reed' and must be changed to match your team. 4. Long transcripts may hit API rate limits; the source suggests considering upstream chunking. 5. Transcripts may contain PII; restrict access to Notion pages and Drive files per policy. 6. This site has not tested the workflow; reproduction status is not_tested.

Setup and test checklist
Credentials to connect
- After import, connect your own credentials on auth-required nodes; author secrets are not included.
Configuration to replace
- Source template is n8n public workflow #9929 (~36 nodes). Keep inactive after import; verify triggers, expressions and external API endpoints.
- Sticky-note guidance is informational; replace placeholders with your own accounts, sheet schemas or channel IDs.
Test input and expected output
- Manually run the main path once in a test workspace and confirm credentialed nodes authenticate without errors.
- Drive one synthetic/redacted sample through and check output fields and downstream writes before enabling in production.
Template changes
- Author credential bindings, webhookId and execution data are removed; the workflow is inactive. Nodes, connections and original prompts are preserved. Not run-tested in n8n.
- No business-logic edits; verify keys, quotas and privacy compliance before use.

Steps
Import workflow and prepare transcript data
Import the template workflow JSON into n8n. Keep disabled nodes off unless you need the polling path. Configure the Webhook node to receive meeting payloads with transcript, title, url, and calendar_invitees. A Code node flattens segments into speaker: text lines, and a Set node normalizes title, transcript, and url for downstream use.
Classify meeting and run AI notetaker
Use an OpenAI node to classify the meeting into DiscoveryCall or MiscMeeting. A Switch node routes to the matching branch: Discovery Call uses an Anthropic model with a structured output parser to extract sales-specific fields (goals, pains, risks, action items); Misc meetings use a general notetaker with a strict JSON schema.
Write to Notion and archive to Google Drive
Write the AI-generated structured content into the Notion Meetings database: Discovery Calls get a rich page with overview, goals, pains, risks, and action items; other meetings get a simpler page. Simultaneously create a transcript text file in Google Drive, then update the Notion page with a viewable Drive link using the returned fileId.
Split tasks and create Notion to-dos
Extract the action-items array from the notes, split into individual tasks with a Code node, filter by assignee (default is 'Matty Reed') with an If node, and create tasks in the Notion Tasks database linked back to the meeting page.
Optional: polling path when webhooks are unavailable
If your meeting tool does not support webhooks, enable the disabled node group: Schedule Trigger → Get Meetings from Notion → List Meetings (HTTP Request) → Get New Meetings (Code) → Get Transcript (HTTP) → Transcript Ready? → Wait → Flatten. Configure the HTTP endpoints and polling interval as needed.

This block is the prompt. Ads are never placed here.
You are an n8n workflow setup assistant. The user wants to replicate an automation that turns meeting transcripts into structured Notion notes, archives them in Google Drive, and creates tasks. Assist in this order: 1. Confirm the user has an n8n instance, OpenAI and Anthropic API keys, a Notion internal integration, and Google Drive OAuth2 credentials. 2. Guide them to import the workflow JSON and verify which nodes are disabled. 3. Help replace placeholder Notion database IDs, property mappings, and the Drive folderId. 4. Explain how to expose the webhook and what test payload format to use. 5. Remind them to update the task filter condition (default filters assignee = 'Matty Reed'). 6. If the user has no webhook source, help enable and configure the polling path. Do not perform API calls or upload credentials on behalf of the user.
Placeholders to replace: Notion Meetings DB ID, Tasks DB ID, property name mappings, Drive folderId, task assignee filter.
