Structure AI meeting notes with GPT-4o-mini and save to Google Drive

Submit raw meeting notes via n8n form → AI generates a 6-section structured document → auto-saves to a Google Drive folder

Automatically convert messy meeting notes into a consistently formatted 6-section plain-text document saved to Google Drive
You need
n8n · Google Drive

Constraints

Requires an n8n instance (self-hosted or cloud), an OpenAI API key, and a Google Drive OAuth2 credential. Import the workflow JSON from the n8n template library, connect credentials, then activate. Estimated setup time: 8–12 minutes.

What they did

Template author isawow built an n8n workflow that collects meeting information via a built-in form, uses a Set node to extract fields and auto-generate a document title, then passes raw notes to an AI Agent node running GPT-4o-mini to produce a structured 6-field JSON. A Structured Output Parser validates the schema, a Code node assembles the fields into a plain-text document, and a Google Drive node saves it to the user-specified folder.

How it went

According to the author, after form submission the workflow automatically completes all processing, outputting a full document with header, overview, key discussion points, decisions, action items (with owner and deadline), and next steps. If a section lacks relevant content, fallback text is inserted automatically rather than leaving blanks or failing. (author_report; not independently tested)

Worth knowing

1. Node 7 (Google Drive) ships with no credential connected—OAuth2 must be configured before activation or the final step will fail. 2. GPT-4o-mini runs at temperature 0.3 with a 1,200-token limit; output is forced to plain text (no markdown). 3. A seventh section can be added by modifying the JSON schema in node 5, the prompt in node 3, and the assembly script in node 6; output can also be changed to Google Docs MIME type. 4. If all sections show 'Not available', the raw notes field was likely empty or the parser failed to match the schema.

n8n workflow template

Structure checked · Not run-tested

Use “Import from File” in n8n, or copy the JSON and paste it into the editor. Connect your own accounts, then try test data. The template is inactive by default.

Setup and test checklist

Credentials to connect

  • After import, connect your own credentials on auth-required nodes; author secrets are not included.

Configuration to replace

  • Source template is n8n public workflow #14895 (~13 nodes). Keep inactive after import; verify triggers, expressions and external API endpoints.
  • Sticky-note guidance is informational; replace placeholders with your own accounts, sheet schemas or channel IDs.

Test input and expected output

  • Manually run the main path once in a test workspace and confirm credentialed nodes authenticate without errors.
  • Drive one synthetic/redacted sample through and check output fields and downstream writes before enabling in production.

Template changes

  • Author credential bindings, webhookId and execution data are removed; the workflow is inactive. Nodes, connections and original prompts are preserved. Not run-tested in n8n.
  • No business-logic edits; verify keys, quotas and privacy compliance before use.

Steps

  1. Import the workflow

In n8n, go to Workflows → Import from JSON, paste the workflow.json content, and import. Confirm all 7 functional nodes are connected in sequence.

  2. Connect API credentials

Create new credentials in n8n for OpenAI API and Google Drive OAuth2. Open node 4 and select the OpenAI credential; open node 7 and select the Google Drive credential. Node 7 ships with no credential—skipping this step will cause the workflow to fail at the final step.

  3. Get your Google Drive Folder ID

Open the target Google Drive folder in your browser and copy the string after /folders/ in the URL. This Folder ID is required for each form submission.

  4. Activate the workflow and copy the form URL

Toggle the workflow to Active. Open node 1 (Form — Meeting Notes Submission) and copy the Form URL. Open this URL in a browser to fill out and submit meeting notes.

  5. Submit the form and execute

Fill in client/project name, meeting date, attendees, raw meeting notes, your name, and Google Drive Folder ID, then submit. The workflow runs automatically: extract fields → GPT-4o-mini structures → parser validates → code assembles document → saves to Google Drive.

    RAW NOTES:
    {{ $json.rawNotes }}

You must return a JSON object with exactly these 6 fields:

overview — 2 to 3 plain sentences summarizing what the meeting was about.

keyDiscussionPoints — a plain text list of major topics discussed. Number each point. Use full sentences. Minimum 3 points maximum 8 points. Separate each point with a newline.

decisionsMade — a plain text list of decisions finalized in the meeting. If none are clear write: No formal decisions recorded.

actionItems — a plain text list of tasks and follow-ups. For each item write the task description then a pipe symbol then the owner then a pipe symbol then the deadline. If owner or deadline is not mentioned write Not assigned or Not specified. Separate each item with a newline.

nextSteps — 2 to 3 plain sentences about what happens next after this meeting.

headerBlock — a plain text block with exactly these 4 lines:
    Client: [client name]
    Date: [meeting date]
    Attendees: [attendees]
    Prepared by: [submitted by name]

    RULES:
    - Plain text only inside every field. No markdown. No asterisks. No hashtags.
    - Do not add anything not present in the raw notes.
    - If a section has no data from notes write: Not discussed in this meeting.

You are an n8n workflow setup assistant. The user wants to replicate the 'Structure AI meeting notes with GPT-4o-mini and save to Google Drive' template. First confirm they have access to an n8n instance, a valid OpenAI API key, and a Google Drive OAuth2 credential. Then guide them to import the workflow JSON, connect credentials, obtain the Folder ID, activate the workflow, and test a form submission.

Before starting, confirm three prerequisites: accessible n8n instance, valid OpenAI API key, and Google account with OAuth2 authorization completed.
