Grok Bot Is Not the Archive: Externalize Your Work
Understand the snapshot model → build external archiving habits → tell bots where to save
- Who
- Users who generate files, pages, or run research tasks with Grok Bot
- You get
- Avoid losing work to Update/Recover/Reset or automatic rollback by keeping durable copies outside the bot computer
- You need
- Grok Bot
Constraints
Grok Bot's computer runs on a snapshot model: Update, Recover, and Reset all rebuild from the last saved copy. If the computer cannot be reached to save first, recent files and work are gone. Chat history is stored separately and is not a reliable backup of files. The author maintains durable copies in external tools (Notion, Google Docs, GitHub, etc.) and includes the save location directly in bot instructions so the durable copy lands before the session ends.
What they did
Y3510X watched the GrokBot Galaxy livestreams and attended the Grok Bot for Design build night in LA in person, observing presenters treating the bot computer and chat as the place where work lived. The author also personally experienced a long chat with Grok disappearing—the model lost context and started inventing the earlier conversation. After that, the author stopped treating Grok Bot or chat as a place to store work and built an external archiving habit.
How it went
As an AI product designer running 40+ bots, the author keeps durable copies outside the box in Notion, Google Docs, GitHub, and other systems. When running research, the instruction to the bot includes where to save the result—Notion, Google Docs, Drive, Jira, or a repo—so the durable copy lands somewhere else before the session ends. The bot computer holds current work, not the only copy. (Author report)
Worth knowing
There are two ways snapshot loss happens: a user-initiated Reset (the author runs this routinely because the shared computer fills with memory and browser helpers until work stalls), and an automatic rollback by the computer with no user action. Multiple people have reported the computer rolling back to an older snapshot and losing days or weeks of work; support tickets are open. The product is new, the computer is shared infrastructure, and snapshot recovery is hard—the usage pattern shown in demos and the durability model of the system are misaligned. It is better to learn the external-save habit before the first wipe.
Steps
Understand Grok Bot's snapshot computer model
Read the Grok Bot docs and understand: the bot computer is a snapshot, not durable storage. Update, Recover, and Reset rebuild from the last saved copy; if the computer is unreachable before saving, recent files are lost. Chat history is stored separately from the file system—chats are not a reliable backup of files.
Set up external archiving and instruct bots where to save
Choose external persistent storage for important outputs (e.g., Notion databases/pages, Google Docs, GitHub repos, Google Drive, Jira). When assigning tasks to a bot, explicitly include the save location in the instruction. For example, in a research task specify 'save the result to [Notion page link / Google Doc / designated repo]'. Ensure the durable copy is written to the external system before the session ends, not just left on the bot computer or in chat.
